Processing personal data

We make sure your data is processed fairly and transparently. When we ask you to provide your personal data, we tell you what data we process about you and for what purpose. You receive this information at the time your personal data is collected.

We use these types of data about you

We use data about you to improve our services and to ensure quality in our contact with you.

In general, we collect six types of data:

  1. Data about members
  1. Data about participants in Bykirken’s events
  1. Data about people who want information from Bykirken
  1. Data about financial contributors (partners and others)
  1. Data about employees

We collect and store your personal data for specific purposes

Type 1: We collect your name, address, phone number, email address, date of birth and date of baptism (where relevant). The purpose is to manage your membership relationship with the church, including being able to document your age to external authorities and to pass on your date of baptism to other churches if you wish.

Types 2 and 3: We collect your name, address, telephone number and email address. The purpose is to manage the relationship with us that you have consented to.

Type 4: For donors who have stated that they want a tax deduction for their gifts, we also store their CPR number (Danish personal identification number) for reporting to the Danish tax authority.

Type 5: We store CPR numbers for the statutory reporting to the Danish tax authorities.

We only process relevant personal data

We only process data about you that is relevant and adequate for the purposes defined above. The purpose determines which type of data about you is relevant to us. The same applies to the amount of personal data we use. For example, we do not use more data than we need for the specific purpose.

We only process necessary personal data

We only collect, process and store the personal data that is necessary to fulfil our defined purposes. In addition, the law may determine which types of data it is necessary for us to collect and store in order to run our church community — for example, a membership list. The type and scope of personal data we process may also be necessary to fulfil a contract or another legal obligation — for example, when dealing with declarations of commitment and employment matters.

We check and update your personal data

We check that the personal data we process about you is not inaccurate or misleading. We also make sure to keep your personal data up to date. As our service depends on your data being correct and up to date, we ask you to tell us about any relevant changes to your data.

We delete your personal data when it is no longer necessary

We delete your personal data when it is no longer necessary for the purpose for which we collected, processed and stored it in the first place.

For donors and volunteers who have had expenses reimbursed, and for employees, we also keep data for five years plus the current year after the relationship ends, in accordance with the Danish Bookkeeping Act.

We ask for your consent before we process your personal data

We obtain your consent before we process your personal data for the purposes described above, unless we have another lawful basis for processing it. We inform you of any such basis and of our legitimate interest in processing your personal data.

Your consent is voluntary, and you can withdraw it at any time by contacting us. Use the contact details above if you would like further information.

If you are under 13, we always obtain consent from a holder of parental responsibility, in addition to your own consent, before we process your personal data as described above.

We don’t share your personal data without your consent

If we pass on your personal data to partners and other parties, we obtain your consent and inform you about what your data will be used for. You can object to this kind of sharing at any time. We do not obtain your consent if we are legally bound to pass on your personal data, for example as part of reporting to a public authority.

Security

We protect your personal data and have internal rules on information security.

We have adopted internal rules on information security, containing instructions and measures that protect your personal data against being destroyed, lost or altered, against unauthorised disclosure or publication, and against unauthorised persons gaining access to or knowledge of your data.

If you ask for it, we can provide you with the data we process about you in a structured, commonly used and machine-readable format (data portability). However, access may be limited in order to safeguard other people’s privacy and data protection, commercial secrets and intellectual property rights.
